Set Up & Loading Times
  1. Stalls can be set up from 10.00am onwards on Sunday 20th November – please do not bring
    vehicles in before this time as other larger vehicles will need the space to exit.
  2. Please do not assume you will have the same stall location as previous years so make a note of your stall number before arriving at the gate.
  3. There will be a one-way system operating. See the map called “Arrival Route” for your instructions and directions. We have TWO entrances for stall holders and ONE exit for all traffic. Make sure you know which one you are allocated otherwise it will cause traffic issues for everyone else.
  4. Stewards will be on the entrance gate to guide you to your location.
  5. Keep to the side so others can pass you. Drive dead slow with headlights on
    but NOT HAZARD lights. Use your indicators as if you were driving so people know which way you are about to turn!
  6. Do not leave your vehicle unattended in case emergency vehicle access is required. Unload your stock and then move your vehicle to a car park.
  7. All vehicles must be removed from all Streets by 11.15am the latest. There is free parking in all Borough Council Car Parks, see map for car park locations.
  8. The Market will be open for trading from 12.00 noon until 5.45pm (please do not pack up early if you can help it, unless sold out of course!)
  9. The Christmas lights switch on will be at approx. 5.00pm with the focus on the entertainment stage adjacent to ‘The Cross’ in the middle of the event.
  10. Depending on the weather and number of shoppers, vehicles will be allowed access for loading from approx. 6.15pm. To ensure safety no access for loading/pull down will be allowed at the event until confirmed by a member of the Organiser’s Team.
  11. Access back onto the site will only be granted to those with the pass given to you on arrival. Any vehicle without this pass will not be allowed onto the site!
Equipment Required
  1. You will need tablecloths to cover the stall tables – bare boards are provided.
  2. Your stall size is 3m X 1.2m (10ft X 4ft)
  3. Business / Organisation name boards / banners so that shoppers can identify your stand easily.
  4. Any Brochures / business cards / information for shoppers as appropriate
  5. Sufficient float to supply plenty of change. We are unable to assist with small change.

    Organisers
    The event is organised by Tewkesbury Christmas Lights Committee.
    The organising team will be WEARING ORANGE HI-VIZ JACKETS and can be called upon for enquiries and emergencies during the day. We have a radio system in place between key people. Support stewards will be in yellow high viz jackets and can guide you where possible and can contact organisers for further assistance.

    ASK FOR MICHEAL JONES FOR ANY STALL RELATED ISSUES, HE WILL BE ON RADIO AND MOBILE PHONE CONTACT DURING THE DAY
    Insurance
    Stall holders must be covered by their own public liability insurance and a copy of the certificate would have been provided to the organisers at time of booking the stall. If your certificate has renewed please send in a copy before the event.

    Food Sellers:
    Food Sellers must hold food hygiene registration with their local authority and would have provided this at the time of booking the stall.

    Health & Safety
  6. Please advise the organisers if you have any safety issues or concerns.
  7. Please report any accidents/incidents to the organisers at the time they occur.
  8. Electrical appliances supplied and used by stall holders must hold a current PAT certificate. Lighting is provided on the stalls, but there are no power points available.
  9. NO Generators are allowed apart from those provided by the organisers
  10. All stall holders requiring fire safety equipment will be responsible for its provision on their stalls. All equipment must comply with Health and Safety legislation.
  11. Stall holders undertake to comply fully with Trading Standards, Health and Safety, Environmental Health and all other relevant legislation.
  12. First Aid will be onsite for the duration of the event LOCATED BY THE CROSS in Barton Street.
  13. The Lost Children point will be the Town Hall in the middle of the High Street.


  14. NO LITTER OR RUBBISH IS TO BE LEFT ON YOUR STALL – USE THE BINS PROVIDED TO CLEAR UP – IF YOU LEAVE TRADE RUBBISH YOU WILL NOT BE INVITED BACK.
  15. Security
    Stall / pitch holders are responsible for the security of all items associated with their stand. The organisers can take no responsibility for any items lost from the stalls.

    Cancellation
    In the unlikely situation of the event being cancelled or abandoned the event organisers shall not be held responsible for any expenditure, loss, damage or liability incurred by the stall or pitch holders.
    Please always follow the instructions of the Stewards. They are there for your safety and to ensure that the visitors enjoy the event.
